Overriding Position Charge-Out Rates

This set of charge-out rates in a position makes it possible for charge-out rates to be applied to an employee's work in projects.

You assign an employee a default charge-out rate in their employee details record by selecting one in the list set up in their position.

However, the default charge-out rate associated with a position may not always be suitable for a particular situation.

And it is possible to override both position rates and project override rates in a budget.

Overriding position rates in a project

To override the default charge-out rate within a project, you set one of the non-default position charge-out rates to the value you want to apply in the project.

Let's take a look at an example of how you do this.

Suppose that the default charge-out rate for the Partner position is €100 per hour, but you have made an arrangement with the client to charge for Partner work at €75 per hour.

Open the Edit view in the left-hand pane.
Click Positions in the left-hand pane.
The Positions window opens in the main workspace. Select the Partners position.
Click Edit.
Set Rate B to €75.
Click SUBMIT.
Now open the Projects view in the left-hand pane.
Select the relevant client and project in the left-hand pane.
The project opens in the main workspace. Click EDIT.
Open the Details tab.
In the Override Rate drop-down list, set the project override rate to Rate B.
Click Submit.

All work performed in this project by Partners will be charged at the project override rate of €75 instead of the default rate associated with the position.

Overriding position rates in a budget

You can override position rates and project override rates in a project's budget by setting a budget override rate for each activity.

For example, suppose that arrangements have been made to charge a client by activity in a particular project.

Partners will charge:

€150 for consultancy.
€100 for tax advice.
€50 for travelling time.

Clerks will charge:

€50 for a client meeting.
€30 for processing tax details.

To implement this arrangement in the project budget, carry out the following steps:

Open the Projects view in the left-hand pane.
Select the relevant project.
In the main workspace, open the Project Details tab.
Click EDIT.
Select the Activity Pricing checkbox.
Click SUBMIT.
Open the Budgets tab.
Select a position in the Position drop-down list.
Select a phase in the Phase drop-down list, if relevant.
Select an activity in the Activity drop-down list.
In the Act Pri field, enter the charge-out rate for this activity in this project.
Enter the other positions, activities and charge-out rates that apply to this project.
Click SUBMIT.

When a Partner or Clerk now enters time in this project, the rates set the Budget tab will override the position charge-out rates and the project override rates.
