Scheduling Employee Time
Suppose that you need to schedule an employee's time for the period Nov 10 to Nov 19.
To do this, carry out the following steps:
- Click Staff Planner in the left-hand pane's Add On view.
- Ensure that the correct month is selected in the top right-hand corner.
- The New Entry sections at the top and also at the bottom of the window each contain a cell for each day of the month. Suppose that you want to create an entry spanning November 10th to 19th in one of these projects. You can create the necessary entry in one of the following ways.
- In the top or bottom panel, drag across from the 10 cell to the 19 cell.
- In the top or bottom panel, click the 10 cell.
- In the New Planned Entry pop-up window, specify the other relevant details including, if necessary, the To date. You can allocate the item to specific employees (using Ctrl+click), all employees in a department, or all employees in a position.

In the Time drop-down menu, select either Full Day or one of the partial day options: AM or PM.
In the case of partial days, you can also use the Hours field to specify how many hours the partial day comprises.
- If the employee works weekends, select the Include Weekend checkbox. This enables the scheduler to include Saturdays and Sundays in the work schedule.
By selecting the appropriate To date one can plan over several months.
- Click one of the Submit buttons to complete the entry.
The Timesheet screen shows a note if an activity has been scheduled in the Staff Planner for that employee on the selected day.
This note links to the Schedule screen, where you can add further details for the entry.
Viewing Entry Details
Existing entries are shown in more detail in the lower New Entry section.
The entry is colour-coded.
- Red signifies a full day.
- Green signifies an AM partial day. The number of hours is indicated in each cell.
- Blue signifies a PM partial day. The number of hours is indicated in each cell.
Editing an Entry
To edit an entry, click it in the lower New Entry section. Make the necessary changes in the Edit Planned Entry pop-up window, and click Submit.
Deleting an Entry
To delete an entry, click it in the lower new Entry section. Then in the Edit Planned Entry pop-up window, click Delete.
